Office Administrator

Downtown Minneapolis, MN | Direct Hire | Full-Time | $55,000-$65,000 + Bonus

We are seeking an Office Administrator to become the central hub of our office operations, supporting executive leadership, coordinating events, managing administrative functions, and assisting with accounting processes.

What You'll Do

Office Administration & Executive Support

  • Serve as the first point of contact for clients, vendors, and visitors
  • Manage front desk operations, reception, and incoming phone calls
  • Coordinate office operations, facilities management, mail distribution, office supplies, catering, and vendor services
  • Maintain conference rooms, kitchen supplies, office equipment, and workplace organization
  • Coordinate building access, parking arrangements, and office logistics
  • Provide executive administrative support to senior leadership
  • Assist with calendar management, travel coordination, special projects, and ad hoc requests

Event Planning & Meeting Coordination

  • Coordinate business meetings, conferences, corporate events, and travel arrangements
  • Manage event registration, venue logistics, catering, schedules, and attendee communications
  • Prepare meeting agendas, presentations, packets, and supporting materials
  • Coordinate weekly leadership and company meetings
  • Support business development and marketing initiatives
  • Assist with email campaigns, CRM updates, appointment scheduling, tracking, and follow-up activities

Accounting & Finance Support

(Training provided)

  • Process Accounts Payable invoices and data entry
  • Enter invoices into accounting and general ledger systems
  • Reconcile corporate credit card statements and expenses
  • Process executive expense reports through expense management software
  • Maintain records, spreadsheets, reporting logs, and financial documentation
  • Ensure accuracy, organization, and timely completion of accounting transactions

Qualifications

Required

  • 1-5 years of experience in:

  • Monday-Friday
  • 8:00 AM - 5:00 PM
  • Flexible start time available (8:30 AM - 5:30 PM)
  • Primarily onsite in Minneapolis
  • Summer work-from-home Fridays available

Compensation & Benefits
